This assignment is for you who want a central and influential role in a larger project with many points of contact.   • Scope: 100% (40 hours/week)

  • Start: February 23, 2026

  • End: February 15, 2027 (Possibility of extension 1+1+1 year)

  • Location: The assignment allows for a combination of remote work and on-site work at the project office in the Stockholm area, according to agreement and the needs of the business.

We are looking for an administrator/consultant for a comprehensive and long-term infrastructure project within public transport. The assignment is part of a larger development and modernization program with several parallel projects, many stakeholders, and a fast pace.

The role is central in the program organization and suits you who enjoy being the spider in the web, working in a structured manner, and supporting project managers and teams in their daily work.

Tasks and responsibilities
  • Administrative support to project managers and project members

  • Administration related to consultants and suppliers

  • Office responsibility at the project office (purchases, access cards, keys, contact with suppliers)

  • Document and case management, including registration and archiving in digital systems

  • Meeting administration: invitations, agendas, minutes, and notes

  • Management of contract logs and supplier invoices

  • Administration of IT orders, permissions, licenses, and distribution lists

  • On- and offboarding of project members

  • Support with travel bookings as well as mail and signing matters

Additional administrative tasks may occur based on the needs of the business.

About you

Qualifications:

  • Education: minimum high school

  • Four to six years of work experience as a program or project administrator.

  • Four to six years of work experience with the Microsoft Office suite and good computer skills in general.

  • At least four (4) years of work experience with some financial system/accounts payable.

Meritorious:

  • Experience in assignments as an administrator within public operations

  • Experience working with document coordination and working in a document management system within projects/programs in public administration.

  • Experience in invoice management (preferably supplier invoices)

  • Experience in office responsibility
